注意事項：
1．出具的中文版本單位證明，并加蓋公章，可以作為正式的語言版本；英文翻譯稿不蓋章，附在中文正本后面，作為非正式附件，以方便使館領(lǐng)事人員閱讀理解。
2．信函要打印在單位套頭印刷的專用信箋上。如果有外文版的外事專用信箋就更好。公章可蓋人事部門的部門章，也可加蓋單位公章。
3．英文稿既然是非正式附件，就不用打印在單位套頭印刷的專用信箋上，可打印在空白的A4紙上，且不蓋章，也不簽名。但仍應(yīng)采用正式公文體的格式、字體和措辭（如“whereas鑒于”、“hereby茲/特此”、“hereinafter以下/下文”等公文用的文縐縐的“拽”詞可以適當(dāng)運(yùn)用）。
4．無論是中文稿，還是英文稿，我方、外方的國號、政府機(jī)構(gòu)名稱都必須規(guī)范。如英國的全稱是“大不列顛及北愛爾蘭聯(lián)合王國theUnited Kingdom of Great Britain and Northern Ireland”。
要弄清楚對方是駐華大使館（embassy）還是駐某個城市的領(lǐng)事館(consulate)，級別是不一樣的。

如果實(shí)在搞不準(zhǔn)規(guī)范的國號全稱，可以用規(guī)范的簡稱，如：Embassyof the Commonwealth of Australia（澳大利亞聯(lián)邦駐華大使館），可以簡稱為AustralianEmbassy in China；但英國大使館不可以簡稱為British Embassy，應(yīng)為Embassy of theUnited Kingdom；美國大使館不可以簡稱為AmericanEmbassy，而是Embassy of the United States，或U. S. Embassy。
